A collaboration between Columbia Mail, Event Management, Undergraduate Student Life, the Activities Board at Columbia (ABC), and the Student Governing Board (SGB), the Summer Storage Program was created last year to address a longstanding challenge faced by student organizations at the end of each spring semester. From performance costumes and musical equipment to engineering supplies and event materials, many groups previously relied on expensive storage units, shipping services, or personal accommodations to safeguard their belongings over the summer.
This year, Columbia Mail logged, labeled, and stored 102 storage bins representing 35 unique student organizations. Each bin was assigned a barcode to support inventory tracking and streamline communication with designated student group contacts throughout the storage period.
The program offers several advantages for student organizations:
- No storage fees
- No shipping costs
- Flexible drop-off and pickup options throughout the collection period
- Reduced administrative burden for student leaders
- Elimination of the large, single-day coordination effort many groups previously faced
By providing a centralized storage solution, student leaders can spend less time managing logistics and more time planning programs, events, and community-building activities for the coming academic year.
Throughout the summer, Columbia Mail maintains the inventory and tracking system for all stored materials. Student groups are required to retrieve their bins before the start of the Fall semester, ensuring that materials are returned in time to support early-semester activities and events.
